Events Terms & Conditions

This page outlines everything you need to know when booking me for events – including how payments work, what happens if plans change, and the less exciting (but important!) legal bits. My goal is always to keep things clear, fair, and stress-free, so you can focus on enjoying your event. If you ever have any questions, I am always happy to chat.

1. Bookings & Payments

Securing your date

Your date is only confirmed once your booking fee (retainer) has been paid and your contract has been signed. Until then, the date remains available and may be booked by another client.

Booking Fee/Retainer

A non-refundable booking fee of 50% is required to secure your booking. This ensures your date is reserved in my diary and reflects the time and work involved before your session, including planning, communication, and preparation. The booking fee is deducted from the total cost of your package.

Remaining Balance

Any outstanding balance is due no later than 14 days before your event, unless otherwise agreed in writing. If payment is not received by the due date, I reserve the right to cancel your booking, and the booking fee will be retained.

Payments

All payments can be made via Bank Transfer to the bank details provided at the time of booking – these will be provided upon booking and remain available on your invoice. All prices are in GBP.

By paying your booking fee, you confirm that you have read and agree to my Events Policy.

2. Cancellations, Refunds & Rescheduling

Cancellations by the Client

Should you choose to cancel your event booking, please let me know as soon as possible in writing. The 50% booking fee is non-refundable in all circumstances, as this covers administration, planning time, and reserving the date in my diary.

 

If cancellation occurs within 14 days of the event, the remaining balance may still be payable. This is because late cancellations often mean the date cannot be rebooked.

 

Refunds

Any payments made, aside from the booking fee, will be refunded where possible, in line with the notice given. Refunds will be processed within 10 days of cancellation.

Rescheduling

If you need to move your event date, I will always try my best to accommodate this, subject to availability. Where sufficient notice is given and I am available for your new date, any payments made (including your booking fee), can be transferred to the rescheduled booking.

If I am unavailable for the new date, this will be treated as a cancellation, and the booking fee will remain non-refundable.

Cancellations by me

In the very unlikely event that I am unable to attend your event due to illness, emergency, or circumstances beyond my control, I will make every effort to source a replacement photographer where possible. If this is not possible, all payments (including your booking fee) will be refunded. No further liability will be accepted.

3. Coverage & Delivery

Coverage time

Coverage time begins at the start time stated in your booking and includes all time spent photographing at your event. Please ensure that access is available and that your event is ready to be photographed at the scheduled start time. Additional coverage, where available, may be added on the day at my discretion and will be charged accordingly.

Editing Style

All images are edited in my signature style. This includes colour correction, exposure adjustments, and gentle retouching where appropriate. By booking, you are acknowledging that you are familiar with my work and trust my creative style. Unedited/RAW images are not provided under any circumstances.

Delivery Timeframe

Your final images will be delivered via an online gallery within 3-4 weeks of your event, unless otherwise stated in your contract. This timeframe may be extended slightly during busy periods, but you will always be kept informed.

4. Usage & Copyright

Personal usage rights

All photographs remain the copyright of Niamh Moore Photography. You are granted a non-exclusive license to use your images for personal use and self-promotion. this includes sharing on social media, websites, and marketing materials, and printing images for personal or promotional purposes. Images may not be sold or used by third parties without prior written consent.

Portfolio & Marketing

I reserve the right to use images from your event for my portfolio, website, social media, marketing materials, and professional submissions. If you would prefer that your images are not used publicly, please let me know in writing prior to your event.

5. Liability & Safety

Every effort will be made to provide high-quality service and to capture your event to the best of my ability. However, I cannot be held responsible for circumstances beyond my control.

This includes, but is not limited to:
• Illness or Injury
• Extreme weather
• Natural disasters
• Acts of God
• Accidents
• Transport issues
• Venue restrictions
• Poor lighting conditions
• Interference from guests, staff, or other suppliers that may impact coverage or image quality

In the unlikely event that I am unable to attend your event due to illness, emergency, or circumstances beyond my control, my liability is limited to a full refund of any payments made. Where possible, I will make reasonable efforts to help source a replacement photographer, but this cannot be guaranteed.

​

Clients are responsible for ensuring a safe working environment. I reserve the right to end coverage early if I feel unsafe or if I am subjected to threatening or abusive behaviour. In such circumstances, no refund will be given.

6. General Terms

Agreement

By booking my services and paying the booking fee, you confirm that you have read, understood, and agree to these Events Policies.

Cooperation

Clients agree to provide reasonable cooperation to allow me to fulfil my services, including access to the event, suitable working conditions, and, where relevant, any required permissions from venues or organisers.

​

Creative discretion

I retain full creative discretion over the style, editing, and final selection of images delivered. Images are selected and edited at my professional judgement to best represent your event and my work.

​

Timeliness & Delays

I am not responsible for reduced coverage due to delays outside of my scheduled start time, including late starts, access issues, or changes to the event schedule.
​

Changes to booking

Any changes to the event details (including date, location, timings, or nature of the event) must be communicated as soon as possible. Significant changes may require an updated agreement.

​

Governing law

These Events Policies are governed by and interpreted in accordance with the laws of England and Wales.
